This article talks about what to expect when you map your group email to your Accurx workspace
Mapping your shared organisation's NHS email to your Accurx workspace means that any Accurx inbound messages sent to this email by another healthcare professional will appear in the workspace’s inbox in the Unassigned folder. A team member can then action these messages, but in the shared space where everyone can see the messaging trail, increasing visibility and collaboration.
How is this different to what we have now?
Currently, it’s only possible to view outbound Message GP conversations initiated by your team in the Care providers' inbox within Accurx. Now it will be possible to view both outbound and inbound messages in the Care provider's inbox.
What happens to new inbound messages after an email is mapped?
Any future Accurx messages sent to the mapped email will appear in the workspace’s Care Provider Inbox (Unassigned folder).
When you receive a new message, an email notification will be sent to the mapped email and to Individual users in the workspace who have notifications switched on for the unassigned folder.
The email will look like the one below. Clicking ‘view conversation’ will take you directly into the inbox, where you can reply to the message directly.
How do notifications work?
Once your group email is mapped to the workspace and if your unassigned folder notifications are on, you'll get notifications for new messages to both your personal and group email.
To switch notifications ‘on’, go to the unassigned folder and click the bell icon to toggle on.
If an individual has notifications set to ‘off’, then the only way they will be notified about new messages or replies will be through the mapped group NHS email.
If a colleague assigns the new message to another colleague, replies themselves, or marks the message as ‘done’ the group email will receive another notification that let’s the team know this action was taken, as shown in the example below:
If the receiving health care professional replies to your message then the group email and any individual with notifications ‘on’ will receive another email notification to let them know. As shown below:
What if someone uses Accurx but isn’t in this workspace? How do they read the conversation?
If someone in your organisation isn’t approved in your workspace or a member of the workspace they will be taken through a set of steps to add and approve them.
They will be asked to verify their identity by inputting a 6-digit code. The code will be sent to the mapped NHS email. Once inputted, the user will be added and approved in the workspace.
NOTE: They will then have to switch on their notifications manually from here to receive email notifications and notifications from within Accurx about new messages.
