Self-Book: How to invite a cohort of patients to book face-to-face appointments

A step-by-step guide on how to send a batch self-book text to a group of patients

How does Batch Self-Book for appointments work?

Batch Self-Book saves practice time by reducing the manual steps involved in booking patients into appointments. Batch Self-book has been designed to be the ultimate recall tool for flu vaccinations and other appointments. ๐Ÿคฉ

The key difference between Self-Book and Batch Self-book is that with batch, your practice can invite larger groups of patients to book into specific slot types.

STEP 1

Click batch messaging - COPD or self-book by going to the manage organisation tab on the toolbar. (If you already use batch messaging this option will be found under batch messaging)๐Ÿ‘‡

STEP 2

Practices can choose which slot type they would like the patient to book into.

Note๐Ÿ’ก: Only slot types with appointment availability within the next 6 weeks will be shown here! You can add a template, or free text the message. You can also add a SNOMED code here as well.

STEP 3

Next, you will be asked to upload a list of patients in a CSV file. For people who are used to using batch messaging the same rules apply. For users who have not created a CSV file before please follow these step-by-step guides:

STEP 4

You will then be asked to review the patient list, just as shown in the screenshot below!

STEP 5

Finally, you will be prompted to review and send the message. To make sure the message saves to the record please ensure you are connected to the toolbar and have both the clinical system and the toolbar open and running!

STEP 6

Invited patients receive a text message with a unique booking link. Once they click on their link, they can choose a time slot and date that they are available for their appointment (up to 6 weeks in the future) ๐Ÿ“†

STEP 7

Then voilร , patients are automatically booked into the chosen slot type in EMIS/SystmOne/Vision.
