How to bulk invite colleagues to a Workspace within Accurx Web

Bulk User Invites allows workspace Admins to invite multiple colleagues to join their workspace within Accurx Web by either uploading a file or by entering a comma-separated list of emails.

This streamlines onboarding by reducing manual invites and ensures your invited colleagues join a workspace as approved members from day one.

Note: all invited colleagues will have their status automatically set to approved in your workspace. If you include members who are already pending approval, they'll also be approved automatically.


How to bulk invite to an existing Workspace

There are two primary ways to bulk invite users:

  • File upload

  • Manual upload

Step 1: Access the Invite colleagues screen

Log into Accurx Web and navigate to the Workspaces section of your Settings page. In the Users panel, click Invite colleagues.

Step 2: Choose your invitation method

You will be taken to the 'Invite colleagues' page, where you can choose between uploading a file to invite multiple people at once or manually inviting your colleagues.

Option A: Upload a file

Select Upload a file.

Your file must contain:

  • One email address per line, or be in the form of a comma-separated list.

  • The file type can be .csv, .tsx, or .txt.

  • Maximum file size is 500KB.

  • Maximum number of emails per file is 10,000.

After selecting your file, click Upload and send.

Option B: Add manually

Select Add manually.

  • Enter or paste the NHS email addresses, separated by a comma.

Click Sending Invitations to complete the process.

Step 3: Review Invitation Status

After sending invitations, you will see a summary of the invitation status, including:

  • The number of invitations sent.

  • The number of pending members approved automatically.

  • The number of existing members skipped (who were already in your Workspace).


How to bulk invite when creating a new Workspace

When creating a workspace, you can bulk invite your colleagues immediately after defining your workspace details.

  1. Complete the Create workspace form, including your Specialty, and the Description and name of your workspace.

  2. After clicking Create workspace, you will be taken directly to the Bulk invitation page, where you can upload a file or manually invite individuals.


Troubleshooting: Why has my file upload failed?

If your file upload fails, you can download an error report to help you fix the issue.

Partial File Upload Failure

If some of your invitations were sent but others failed (e.g., 500 invitations sent and 1409 invitations couldn't be sent):

  • You can download the error report to see the failed rows. The report will only highlight rows with invalid email formats or domains.

  • You can also download the full report, which does not highlight the errors.

  • You can then fix the issues in your file and upload the file again.

Complete File Upload Failure

If your upload has entirely failed (no invitations were sent):

  • You have the option to only download the error report.

What kind of errors will the error report show?

The error report will only show failed rows that have an invalid email format or an invalid email domain.
