Self-Book : How to set different locations in EMIS

This article is a step-by-step guide on how you can set locations in EMIS for your patients to book into.

Why would I want to set different locations in EMIS?πŸ₯

Some organisations want to provide certain services at various locations to offer increased flexibility to patients when it comes to booking appointments. For the purpose of this example, we are using The Church hall and Emis Test location as places for patients to get their flu vaccinations.

Step 1

Within EMIS, click on the Emis ball ➑ Configuration ➑ Organisation configuration

Step 2

Click on Locations in the left-hand column and then the green Add symbol in the top right corner

Step 3

Enter your location name into the top box and select your location type as well. It is also important you select yes in the 'appointment session holder' section.

(Note πŸ’‘: Patients will not be given the address of the location so the more information here you can provide the better!)

Once you click ok you will then see your new location type in the left sidebar along with any other locations you currently have set up. The information in the bottom box shows the location details as shown in the image below.

Step 4

Now you have your location ready to go, it's time to set up your slot sessions! If you need to know how to create a new slot type in EMIS you can view our handy article here πŸ‘ˆ

To do this, click on your appointment book, and then 'create session'

Step 5

You can now name your session - this is only viewable to you in the appointment book. Set your times, dates and recurrences as you need.

The important part is the location tab, if this is for a new location you have just set up you will need to search for it using the magnifying glass πŸ”Ž. For the purpose of this guide I am searching for the new location of 'The Church hall'. By default, it has selected the EMIS test location

You will see the screen below when you click the magnifying glass, type in your new location name and click the magnifying glass again. This should find your location, click the location and then press ok.

Step 6

You will then see that the location setting has switched to your new location. From here you can select your slot type to whatever you want it to be, for this instance we have chosen 'flu' as our slot type.

You have now created your new location and appointment session πŸŽ‰πŸŽ‰

This means you can now begin inviting patients to book into this slot type.

Things to bear in mind!

  • If you have just created a session please bear in mind if you have live and valid booking links we will check your appointment book for new additions at 30-minute intervals for 48 hours. Once the links expire or are fully booked we will go back to searching the appointment book once every 24 hours.

  • If you have multiple sessions set up for the same slot type across different locations, when patients go to book they will be given the option of choosing their preferred location! 😊 (see image below!)
