A step-by-step guide on how to use Accurx's new feature for sending automated messages to patients after their appointment!

What are Post-Appointment Messages?

Post-Appointment Messages are text messages which are automatically sent to patients 24 hours after their appointment. These can be set up for specific slot types within your appointment book πŸ“–

How to use Post-Appointment Messages

To set up a Post-Appointment Message for a specific slot type, you will need to either edit an existing Appointment Reminder or create a new one.

  1. To turn on a Post-Appointment Message, go into an existing Appointment Reminder by clicking "Edit" or create a new reminder by clicking "Create a reminder"

  2. Once in the appointment reminder edit screen, scroll down to the "Post-appointment message" section at the bottom of the page and change the toggle from "Off" to "On." This will cause a text field to appear (shown below) πŸ‘‡

  3. Within this text field, you can add whatever message you want, including a link to a survey such as a Friends and Family Test! πŸ‘ͺ For example:

    "Thank you for attending your recent appointment. Please share your feedback with the survey below [insert survey link]"

  4. Hit the "Set reminder live" button in the bottom right corner, and you're good to go!

We've made two articles to make it super easy to create your own FFT on Google Forms and Microsoft Forms but you are welcome to use whichever survey-building provider your organisation prefers.

Frequently Asked Questions (FAQs)

How can I see delivery receipts

Delivery receipts are displayed the same as other Appointment Reminders.

  1. Head over to Manage Organisation,

  2. Scroll down to the Accurx Desktop section, and select Appointment Reminders,

  3. Click on 'Sent reminders' in the sidebar (shown below) πŸ‘‡

This will display the patients' NHS Number, Patient Name, Appointment Date and Status. The status will register as 'Delivered' if the patient has successfully received the post-appointment message or 'Failed' if the patient has not.

Will patients still receive their Post-Appointment Message if they don't attend the appointment (DNA)?

Yes. Even if a patient has DNA, they will still receive the message 24 hours after the appointment time.

Where will I find the responses to the Friends and Family Test?

Responses to your friends and family test are not displayed within Accurx.

To find your responses πŸ” , please go to the organisation you set up the FFT with. For example:

  • If you used Google Forms the responses will go back to the Google account used to set up the survey.

  • If you used Microsoft Forms, the responses will go back to the Microsoft account.

Can you send a post-appointment message without an appointment reminder?

No. Unfortunately, you need to have an active appointment reminder for a slot type to receive a post-appointment message. πŸ“΄
