1️⃣ Log in to https://web.accurx.com/login
2️⃣ Verify your identity if you haven’t done so already with 2 Factor Authentication. You should have set up 2FA using your mobile phone number or an alternative email address to your NHS address. If not, please set this up to access all the features here.
3️⃣ In the top right-hand corner of the screen, click on the name of your Workspace' > 'Settings'
4️⃣ Click on 'Reminders' to take you to take you to the Appointment Reminders page. To create a new reminder, click 'Create appointment reminder'
5️⃣ In the 'Reminder details’ section, select the relevant clinic codes from HISS, and choose the specific appointment types you want this message to go out to (face-to-face, telephone, etc.)
6️⃣ Choose the template type, which can be telephone or face-to-face. This changes the text message that is sent to patients (e.g. location will be added for face-to-face appointments but removed for telephone). In the text field below, you can add any extra details you would want patients to receive with the reminder (e.g. directions to the department, etc.)
7️⃣ In the send time section, you can choose when you would like the reminders to be sent out. One working day is on by default, but you can also choose to have them go out 3 working days, 1 week, and 2 weeks before an appointment. Patients will have the ability to cancel or rebook their appointment up until 1 working day before the appointment.
(Optional) 8️⃣ You can also choose to have a post-appointment message attached to your message, which will go out 24 hours after an appointment. This can be used to remind patients to complete a survey, or to remind them to book a follow-up, etc. This will be off by default but you can toggle this on and enter the message you’d like to go out after the appointment.
9️⃣ Once the above is completed, click ‘Set reminder live’ which will set the reminder live and start sending out reminder text messages.
How do I know that a patient has received their appointment reminder?
To confirm that a patient has received their appointment reminder, click 'Organisation' > 'Settings' > 'Reminders' > 'Sent reminders' to view the delivery receipts. You will also have the option to search by NHS Number or name.
