What is Batch Messaging & Appointment Reminders?

Batch Messaging increases the efficiency of general patient communication by being able to send out Florey patient questionnaires, as well as ad-hoc and templated messages on-mass to multiple patients at once.

This new feature fits in seamlessly with other Accurx workflows that users will be familiar with, so it is very easy to pick up and use:

  • Batch messages are automatically saved to the patient record

  • Any response to a Florey patient questionnaire sent using Batch messaging can be saved to the record in one-click with the appropriate SNOMED codes attached

  • Any response from Batch messages flow into the Accurx Inbox, allowing for a centralised place for patient communication

Appointment reminders are text messages which are automatically sent to patients to remind them about their upcoming appointment. The automatic text messages are sent to patients 1 working day before their appointment and organisations can set up different reminder messages for different slot types.

  • Patients are able to cancel their appointment via a unique link in their text message.

  • You can automatically add in the location associated with the appointment.

You can find the Batch Messaging and Appointment Reminders within your 'Manage Organisation' page that you can access from your Accurx toolbar.

FAQs

Batch Messaging

  • How many patients can I message at once?

    Unlimited messages can be sent to patients using Batch Messaging πŸš€

  • Why have the messages not saved to the patients records?

    Saving the message takes about 2 seconds per patient, so if you sent a large batch message, check back later if you haven't seen the messages saved yet.

    If you are using SystmOne, please make sure you Accurx toolbar and SystmOne are open in order to allow saving.

  • Can I create my own batch templates?

    Yes, simply do so using the normal template creator, and tick "Batch" when done. Learn more here.

  • Can I suggest a new SNOMED code?

    Yes! Simply chat to our support team (click the chat icon in the bottom right).

  • Can a patient send a free text response to a batch message?

    No, although this is something we are researching to consider for the future.

  • Can I schedule when I want by batch messages to sent?

    Yes! You can schedule any batch messages apart from batch self book. You can choose to schedule and stagger the message across a few days.

Appointment reminders

  • My organisation has multiple sites, will appointment reminders include which site the patient's appointment is at?

    Yes! If we detect more than one site in your appointment book then we will automatically include the location of the appointment in the reminder.

  • Does Accurx check consent for appointment reminder messages?

    Yes βœ… our system scans the EMIS/SystmOne record to look for any SNOMED codes related to SMS consent (for instance, if the patient has explicitly expressed dissent for SMS communication). It will then choose whether to send the appointment reminder based on this, and hence will not send appointment reminders to patients that have a code for declined consent in the record.

  • When do appointment reminders send?

    24 working hours before the patient's appointment (e.g. if the patient's appointment is on Tuesday at 10:30am, they will receive their appointment reminder on Monday at 10:30am.)

  • How many text messages are sent?

    1 reminder message is sent, 1 working day before the patient's appointment. We currently do not send out automatic texts to patients to confirm their appointment booking.

  • How do I add in another slot?

    Add them into your clinical system, and our system will pick them up in about an hour if a patient is booked into the slot in the next 7 days.

  • What happens if a new clinician joins the organisation, do I need to do anything to make sure their patients receive reminders?

    Our system doesn't distinguish between clinicians and only looks at slot types so you don't need to do anything.

  • Do I need to do anything with my current system?

    You will need to turn off your current system so patients do not get multiple reminders.

  • How does it get saved in the record?

    Appointment reminders are not currently saved to the record.
