Accurx Scribe in Desktop: Template Builder

πŸ” What are Scribe templates?

Scribe templates help ensure notes are captured consistently, with the right level of detail and formatting to support onward communication and record-keeping.

When you start a Scribe, you’ll see a list of available templates. These give structure to your note and guide how information is captured – whether you’re conducting a standard GP appointment, having a pharmacist medical review, or completing a home visit πŸ‘‡

You can then review and edit the output, save it to your patient record, or turn it into a formatted document such as a referral letter or patient letter.


πŸ“Œ Accessing Scribe templates

You can manage your workspace's Scribe templates by clicking the settings option on the bottom left of your Accurx Scribe page, followed by 'Templates' πŸ‘‡

Scribe Template Visibility: Workspace admins have a different level of visibility compared to standard users to help ensure data quality and appropriate usage.

Admins:

  • Full Visibility: Admins will see every Scribe template created by users within the workspace, including those that have not been shared with the workspace.

  • Oversight: This enables a comprehensive review of all templates to ensure they align with clinic standards and are used appropriately.

Non-admins:

  • Visibility: Non-admins will only be able to see Scribe templates that they've created, as well as Scribe templates that have been shared with the workspace.

  • Non-admins will not be able to see unshared Scribe templates created by other users.


✍️ Creating Scribe templates

There are a few ways to create a Scribe template:

Option 1: Creating a fixed-structure EMIS/SystmOne Scribe template

If you're looking to create a Scribe template that allows your Scribe consultation notes to be transferable to your EMIS/SystmOne records, you can use fixed-structure Scribe templates.

This option sets a structure for the template that can't be modified, but you will still be able to customise how the content is written within it.

To create a fixed-structure Scribe template, select the 'Create new template' option within your Scribe templates page πŸ‘‡

On the 'Create new template' page, select 'Save to EMIS' or 'Save to SystmOne'.

Please note: The fixed-structure Scribe templates option is currently only available for EMIS and SystmOne organisations.

Option 2: Starting a blank Scribe template

If you prefer full control over the Scribe template’s structure, you can start from a blank template and build it step-by-step.

To create a blank Scribe template, select the 'Create new template' option within your Scribe templates page πŸ‘‡

On the 'Create new template' page, select 'Custom template'.

Option 3: Duplicating an existing Scribe template

If you have a Scribe template that is almost right for you, but you want to make some amendments, you can duplicate it to create a copy. This will then allow you to modify the existing structure and adjust specific sections.

To duplicate an existing Scribe template, open the specific template, click on the three-dot button, and then select 'Duplicate template' πŸ‘‡


πŸ‘· Building Scribe templates

A Scribe template consists of multiple entries that together form its structure. Each entry can also have a different data type, depending on how you want the template structured.

1. Select primary profession
Select the profession the Scribe template will primarily be used by. This helps the AI understand how notes should be written for the Scribe template. For example, whether it’s mainly used by GPs or nurses.

Choose the profession that best matches the intended users of the Scribe template. This selection does not affect who can access or use the template in your workspace.

2. Add a name to your Scribe template

Give your Scribe template a unique name - no two Scribe templates can share the same name.

3. Add entry and provide entry name
Start building the Scribe template by adding an entry.

For each entry, you also need to provide a name. Tandem uses the entry name to understand what information should appear under the entry when drafting a note using the template.

4. Modify entries

After you have added an entry, you have a few different ways in which you can modify the entry:

1. Click and drag to change the order of your entries or group entries together under a heading.

2. Rename the entry.

The entry name is what Tandem uses to understand what information should be written under that entry when a note is generated using the template.

3. Switch between data types for the entry.

When adding an entry, you will need to select its data type.

Text (regular entry)
Tandem automatically fills this entry with relevant information from the consultation, written as free text.

Heading
Headings allow you to group other entries together under the heading.

Number
Captures content with a number and a unit.

Option
Captures content by selecting one choice from a list.

Multiple options
Used for selecting several items among available alternatives.

Custom structure (advanced)
Allows you to write custom instructions for how structure the text. Read more about this data type on the help page Custom structure.

🀝 Sharing Scribe templates

Once you have created and finished building your Scribe template, or made changes to an existing one, you need to share it for it to be usable in the workspace.

Sharing options


​Share with everyone at the clinic: All users at the workspace can use the template for patient encounters.


​Share with selected professions: The template will only be visible to users with the professions you choose to share it with.


Scribe template statuses

Scribe templates can have different statuses depending on whether they are shared or if you have made changes to them:

​What it means

The template is visible only within the template creator list. It cannot be used for patient encounters.

The template is available for use during patient encounters, either by the entire workspace or selected professional roles.

The template has been edited, but the edits have not been shared. Users have access to the most recently shared version.

Memories help you guide Tandem on how to write your documentation in the style and way that you want. They let you fine-tune output without changing the underlying template, making them especially useful for stylistic preferences and smaller adjustments of how you want Tandem to document.

These can either be added automatically when you create your Scribe template, or you can create them manually.
