How do I invite patients?
Create a CSV file of the patients you want to invite. Upload the CSV onto the system. Patients without valid UK mobile numbers will be flagged to you as 'To manually book', as we cannot send an SMS invite to them.
What do the different states mean?
You can review the list of patients you've uploaded by CSV, which will be in the following states:
Booked: The number of patients that have been booked, either manually or via text.
Awaiting reply: Patients that have been sent a text invite, but have not yet used it to book in.
To manually book: Patients who did not have a valid mobile number on their medical record at the time when the invite was sent.
Cancelled: Patients who have had their invite cancelled and will need to be reinvited. You can find out more about cancelled invites below. 👇
Declined: Patients who have dissented to having the vaccine.
Already invited: Patients who were already invited to have the vaccine in a previous batch that has been uploaded.
Please note that some patients who are shown as 'Awaiting response' may not have smartphones, internet access, or the ability to book themselves in, and therefore you may need to book them in manually, too.
How do I see who is to be manually booked?
Filter the list of all patients by 'To manually book'
How do I book them in?
To book the patient, simply click 'Book' on the right hand side.
You will see the same invite & booking system that the patient sees if they have been sent a link to book via text.
❗ Please note - patients are currently only booking in their first vaccination, in line with new guidelines. We will look to add further functionality soon to book in their second vaccination for 3/4 to 12 weeks after their first.
You can talk the patient through the invite process and book for them. If you do this, please go over the vaccine information provided to patients, so that they can make an informed decision about booking, thereby giving consent.
You will also need to tell the patients if the address that they should attend on the day is different to that of your GP practice.
You will be prompted to choose the date and time of the patient's first vaccine.
The only slots that will show up here are those that have a clinic in at least 21/ 28 days' time, so the patient can be booked in for their first and second jab at the same time.
Once you have chosen the first date and time for the appointment, click 'continue'.
After this step, you will be asked to review the date and timesyou have selected with the patient. If you need to change the appointment here, you can click 'Change first slot'

Once you are happy with the appointments, click 'Confirm and accept'.
You will then see a 'Vaccinations booked successfully' screen.
The patient will receive an SMS reminder of this if you have their mobile number in the system. If not, make sure the patient is aware of the date and time of both appointments, and where they will need to go to attend these.
