Setting up Accurx Appointment Reminders at practices with more than one site

What are Appointment Reminders?

Appointment Reminders allows you to set up automated messages to remind patients about upcoming appointments.

For multi-site practices, the location of the patient's appointment will be automatically populated in all reminder text messages.

  • For EMIS practices, the location of the appointment is taken directly from the session location that the appointment is under in the appointment book.

  • For SystmOne practices, the location of the appointment is taken directly from the rota site that the appointment is under in the appointment book.

How do I set up appointment reminders as a multi-site practice?

To set up Appointment Reminders, you will be able to follow this article.

However, when setting up new reminders, you will be asked to choose your site locations for the reminder.

You don't just need to choose one site per reminder. You can choose as many of your sites as you would like. πŸŽ‰ In the section shown in the picture below πŸ‘‡

What happens if I update the site name in the appointment book?

If you change the site name in the appointment book, you will need to make sure that you also update this in the appointment reminder settings. For example: if you changed the site name from 'Accurx Office' to 'Accurx GP Office'.

The Accurx system won't pick up this change in site name automatically, you'll need to go into your Appointment Reminders locations and add the new site location. If this isn't done, then we will continue to look for appointments at the old site name and Appointment Reminders won't be sent.

The same logic applies to making updates to the slot names in the appointment book.

Note ⚠️ It may take 24 hours for us to recognise the new site location name and show it in the drop-down.

FAQs ❓

Should I select all my sites or just one site?

The site name of the patient's appointment will always be automatically added into the reminder text whether you choose all sites or just one.

If the content of your appointment reminders will be the same for all of your sites then you can choose all sites.

If you have different messages to send to your patients at your different sites then you may wish to set up appointment reminders individually per site.

What happens if I set up an appointment reminder for a slot type that doesn't occur at one of my sites?

If a slot type is not found at a particular site then the reminder will not be sent.

Why hasn't one of my sites appeared in the dropdown?

Only the site locations with patients booked into them within the next 7 days will appear in the dropdown.

Why can I see some site names that aren't for my practice?

This can happen if you are a SystmOne practice with Shared Admin (you can cee the appointments of another SystmOne organisation in your appointment book). Read more about this here...

What happens if my practice accumulates another site?

The Accurx Appointment Reminder system will not start automatically sending appointment reminders to any new sites which are added to your appointment book. You will need to set up some new reminders with the new site selected.

Can I set up some appointment reminders without the location in the reminder?

This isn't something we support right now but possibly will in future! We'd love to hear which types of appointment reminders you'd like to set up without location in them. Just click the green message icon in the bottom right hand corner to chat! 😊 πŸ‘‰
