This article covers how Accurx saves back to the medical record

Accurx Web

This is our stand-alone web-based tool that allows healthcare professionals to send SMS messages and conduct video consultations. Messages sent via Accurx Web do not save back to the medical record.

Organisation Switcher

The organisation switcher is designed for a hub style of working but works without a medical record system running. To use it you will need to close EMIS/SystmOne and open the Accurx desktop app on its own. You can then switch between organisations you've previously connected to and search for patients to message by selecting the 'Message' icon. You should also be able to view the organisation's practice inbox and reply to patients from here. None of the messages sent whilst using the org switcher will save to the patient's medical record.

Accumail and Individual Messages

Saving to record is ticked by default when you send your message from the Accurx toolbar 👇. If you untick the box in your compose screen, the message will not save to record.

Scheduled Messages

Messages that are staggered or scheduled will be saved to the patient's medical record when the message is 'Confirmed and Saved', not when the message is actually sent. The reason we save to record as soon as we send the scheduled/staggered message is that we can't guarantee that the user will be connected to the medical record and toolbar at the time the message is staggered/scheduled for. This is the same behaviour for pathways sent from the Desktop toolbar. You can find out more information about Scheduled Messages here.

Batch Messages

If you see that some messages have failed to save to the record, we attempt to save them for 15 days (once per day). The user who sent the message will need to have their toolbar open and connected to successfully save the message. This means that if a user sent a large batch message but then went on annual leave for 2 weeks (and therefore was not connected to the medical record), most of the messages would likely fail to save. Unfortunately, at the moment it is not possible to attempt to save these messages once 15 days have passed

Questionnaires

When sending certain batch Florey questionnaires to patients, you may be shown the option to "Save responses to patient's record automatically". You will only see this option for the following Floreys: BMI Questionnaire, Smoking Questionnaire, Ethnicity Questionnaire and your Custom Questionnaires.

Appointment Reminders

We do not save Accurx Appointment Reminders to the medical record. You can see an audit trail of all sent reminders under Initials >> Manage Organisation >> Appointment Reminders >> All Sent Reminders. We only show the messages from the past 30 days on the delivery receipts pages, so you won't be able to see past this time.


Emis

Emis saves to the record seamlessly with Accurx if we have an active connection to the toolbar. If you're experiencing issues with Accurx connecting to EMIS, it may be due to a crashed instance of EMIS running in the background, incorrect organisation settings, or a misconfiguration in EMAS Manager. SystmOne (S1)

In SystmOne, the process for saving individual messages involves opening the patient's record. Upon closing the patient's file, it must be saved to retain any changes or additions. If the patient's record is discarded instead of saved, their notes will not be preserved.

When updating the record, we open the patient's file in SystmOne and prompt you to save it to ensure the changes are properly recorded. While most staff members likely save automatically for any accessed patients, if someone discards the record without saving, the changes won't be preserved. Consequently, in Accurx, it may appear as though the changes were saved (due to our addition), but in SystmOne, they would have been discarded.


Vision

For practices that work as part of a Federation, and use the Federation Locum user type, your Accurx messages may be received via the Vision Mail Manager, when the Federated Locum user is logged in/sending messages. The messages may also save under a name similar to Dr Federated User". You can read more information about this in our article here.
